Ok folks, here's my situation. The problem: Our organization has several managers. Often times, there are forms and documents that require several different signatures to be processed. The forms have to be hand delivered to each manager, who reviews the documents and signs the appropriate form. One secretary tracks all activity with these forms, including where the form currently is, whose desk it is on, what date/time it went there, etc. That secretary is also responsible for making sue the managers sign the forms in a timely fashion. Desired solution: Electronic versions of the forms, signed digitally, delivered via-email, automatically log who has form and at what date and time they got it, check-in/check-out of files so only one person can review/sign at a time, and automatic reminders to let the managers know that they have had a file checked out too long and they need to sign it. Would like to achieve this with ColdFusion and Access databases (MSSQL is an option as well). Our organization uses Exchange server and users have smart cards and digital certificates. I also have access to a program that will allow digital signatures on PDF's and MS Office documents by using the existing smart card credentials. I'm working on my plan of attack for this system; it is my first project with this organization. I'd like to make a big splash up front, and I have few ideas floating in my head but would like some expert opinions. Thanks in advance
Ok, here are my first thoughts. I think I need to create a ticketing system, where the users upload the document for review and select the form to be signed from a pre populated list. Then, the case is submitted and sent to the next party for review. They review it, make revisions to the document if needed, and approve or reject. I want the approve button to sign the document for the user. It would be a PDF file and the program is ApproveIt which uses existing smart card certs. Any advice?
