Recycling old accounts

    We are just about out of licenses. We plan on moving onto another billing sofotware suite soon, but in the meantime, has anyone been able to recycle old(canceled) accounts, but kept their invoice and payment history in a backup?

    Here is what we do. We just printed all the old customer records and kept an paper account of what was and deleted the accounts. We deleted anything 7 years or older, since legally that is all we need keep around in terms of the accounting data, etc.

    As far as everything else, the chances of those that are gone after that long coming back is long past. We were able to salvage a shit load of accounts after doing this and as such can probably keep using OG indefinitely.

    I tried your idea one of our old customers, but when I tried to delete it, I got a response that I cannot delete an account with a payment on record. I do not have Admin rights, is this the reason? I guess I can print off an account statement, then delete the payments, then delete the account. But just wanted to know about the Admin rights.

    Kevin, you need to give yourself GOD privileges. Just go to Maintenance and Preferences and Edit Employees then go to Groups. In groups create a new group and call it "God Group", then ad yourself to that group. In the preference listings (where all the check boxes are) look for the following:

    "God Level Delete" and check it. That's it... Now when you are logged in as yourself, you should be able to just delete it. A warning will probably still come up, but non the less you will still be able to delete it completely.
