I've got a shop for digital items. A certain client bought one of my digital goods via PayPal. After a few days, he's asking me to send him an invoice for the item he already paid. Why is he asking for an invoice where the item has been already paid? Do I have to send him an invoice or what should I do?
The buyer is within his right to ask for an invoice..and there is nothing unusual about it. Since you have established an online shop and if you intend to do business in an efficient manner, it is in your own interest to issue digital invoices against your sales online. It is an essential part of good record keeping. I know it is little tedious to do and not many people follow doing it, but then...one needs to invest little time in good practices as well. I'm not getting used with invoices in PayPal and I have only few instances where I issue an invoice - only to those who ask before they paid. As what I have understand with PayPal invoice, it is issued prior to the actual payment. So, invoicing is a sort of requesting a payment to the client, right? But in this case, the client has already paid me, through the "Buy Now" button in the shop. And after a few days, he's asking now for the invoice - this what makes me confused. If I issue him an invoice now, it seems that I am asking for another payment? Or does PayPal automatically creates an invoice and was hidden somewhere on my PP account when he click that "Buy Now" button?
As RightMan said, nothing unusual to send an invoice. Keep it simple - download a free invoice template e.g. from http://www.vertex42.com/ExcelTemplates/sales-invoice-template.html note "paid and delivered" with the transactioncode from paypal and it's done
Whoever told you that invoices can not be issued after the payment is received? Invoices are issued not just for ascertaining the final deal amount but also for record keeping purpose since they readily acknowledge the type of product/service transacted with complete details of the T&C under which the deal took place. Agree with RightMan and MiMo, you have to make it simple but yet professional... Creating the requested invoices and sending it to them is your only solution, it's not a big deal to consider posting in a public forum
