External hard drive best way to safe your data. If current hard drive may be corrupt then your data'll be safe other HDD. Other way to use DVD disk.

Out IT had set up a another PC networked with all the PCs in our office where we can store backup. However, it is manual process. We access our respective folders and save our files.

Individually we save also on our flash drives.

It's a good ideea to buy an external hard drive. Hard drives nowadays ar much more reliable and the chace of failure is little.
There is no point going mad buying lots of external drives if your data is for personal use.

For a cheeper alternative you could use FTP transfer or DVD's.

Differential Backup: This method first involves a full backup and the backups that follows saves only files that have been changed from the last backup. Each time a differential backup is made the the file that has been saved or changed is backup automatically. This method is a easier one.
In case your backup still didn't helped you in restoring data, you can opt for a data recovery services from Stellar Information Systems, having branches across 137 countries.

I backup 2 home computers + 3 managed websites to the external drives using Handy Backup (handybackup.net), it's automatic backup software, easy, reliable and good.
