How Are You Managing Your SEO Clients?

    For mine,

    Payment forms - Jotform then I reference & manually add the new clients into my Excel file.

    Client management - I use Excel for mine (and in the file includes name,email,phone, campaign name, date ordered, requests).

    Reporting - Reporb for creating backlink reports for clients.

    Keyword Rankings - Scrapebox + their Rank tracker plugin & looking into Serpbook for clients.

    But I personally have a hard time scaling it hard due to the amount of "non-automated" work this involves.

    How about you & your SEO business on managing your SEO clients?

    Unless you can streamline the part I highlighted in red, you're going to need to expand and bring on a Virtual Assistant. If it can't be automated, and you don't have enough time yourself, you need to bring on hired help.

    It's really that simple.

    How are you handling yours, WebDev? I don't see VA as a proper way of scaling a business. I never liked the idea of more clients = more VAs.

    So you're telling me you don't have enough time to do the manual side of work - but you don't want to outsource any of the work either? You basically have no options then.

    If you have no reasonable way of automating the current manual work you're doing, then you're forced to opt for a Virtual Assistant or take on part time staff - you either do that or you're business won't continue to 'scale up' at all. There's a limit to what you can do yourself and if you're not willing to accept that then you're business has already reached it's maximum capacity unless you choose to streamline/reduce some of the manual work you offer to your clients at the present time.

    For reporting only, you can take a look at RavenTools or SEOMoz.




    That is why I'm looking for an automated way of scaling.

    Hence, this posts into looking for other opinions of other SEO businesses managing their clients. If I knew of an automated way of scaling, this posts wouldn't even exists.

    & if you bother to even read my previous posts, I don't want to run my business with the thought of "more clients = more VA"

    I'm more into More Clients = Software + Less VA.

    If you're really intent on continuing to scale up your business, you will need to take on staff sooner or later.
